Privacy Policy
Effective Date: July 1, 2026
CopernicusMind ("CopernicusMind," "we," "us," or "our") respects your privacy and is committed to protecting the personal information that you share with us. This Privacy Policy ("Policy") describes how we collect, use, disclose, and safeguard information when you visit our website, contact us, engage our services, or otherwise interact with us (collectively, the "Services"). By accessing or using the Services, you acknowledge that you have read, understood, and agree to be bound by this Policy.
1. Information We Collect
We collect information in the following categories:
1.1 Information You Provide Directly
- Identifiers and contact data: your full name, company name, business email address, telephone number, mailing address, and job title.
- Communications: the content of any message, inquiry form, email, telephone call, SMS message, or correspondence you send to us, including attachments.
- Engagement information: information you provide in connection with a research brief, proposal, statement of work, or engagement, including business objectives, questions, and any background materials you elect to share.
- Marketing preferences: your consent choices, opt-in and opt-out selections, and any preferences you communicate to us.
1.2 Information Collected Automatically
- Device and usage data: IP address, browser type and version, operating system, referring URLs, pages viewed, time spent, links clicked, and general interaction data.
- Cookies and similar technologies: we and our service providers use cookies, pixels, local storage, and similar technologies to operate, secure, and analyze the Services. You may control cookies through your browser settings; disabling cookies may affect certain functionality.
- Approximate location: derived from your IP address for security, analytics, and localization.
1.3 Information from Third Parties
We may receive information about you from analytics providers, hosting and infrastructure providers, communications platforms (including SMS and email delivery vendors), publicly available sources, and business contacts who refer you to us. We treat that information in accordance with this Policy.
2. How We Use Information
We use personal information for the following purposes:
- To respond to inquiries, provide requested information, and communicate with you about our Services;
- To evaluate, scope, staff, and deliver research and advisory engagements;
- To send administrative messages, service notices, and updates about active engagements;
- To send, with your consent, marketing communications, invitations, insights, and research summaries, from which you may opt out at any time;
- To operate, maintain, secure, monitor, and improve the Services;
- To detect, prevent, and address fraud, abuse, security incidents, and unlawful activity;
- To comply with legal obligations, respond to lawful requests, and enforce our agreements; and
- For any other purpose disclosed to you at the time of collection or with your consent.
3. How We Share Information
We do not sell personal information for monetary consideration. We share information only as follows:
- Service providers: with vendors who process information on our behalf — including hosting, database, analytics, email delivery, SMS delivery, customer relationship management, document storage, and security providers — under written agreements that limit their use of the information to providing services to us.
- Professional advisors: with our attorneys, accountants, auditors, and insurers on a confidential basis.
- Legal and safety: where we believe in good faith that disclosure is necessary to comply with law, valid legal process, or a government request; to enforce our terms; or to protect the rights, property, or safety of CopernicusMind, our clients, or others.
- Business transfers: in connection with a merger, acquisition, reorganization, financing, or sale of assets, subject to customary confidentiality obligations.
- With your direction or consent: when you ask us to share information, or otherwise consent to sharing.
4. TCPA Consent
By providing your telephone number to CopernicusMind through our website, contact form, engagement documents, or otherwise, you expressly consent under the Telephone Consumer Protection Act, 47 U.S.C. § 227 ("TCPA"), and its implementing regulations to be contacted by CopernicusMind and its authorized service providers at the telephone number(s) you provide. Such contact may be made using an automatic telephone dialing system, an artificial or prerecorded voice, or SMS/MMS text messages, for purposes including responding to your inquiry, scheduling and conducting engagements, sending administrative or transactional messages, and — where applicable — marketing.
You acknowledge that consent to receive such calls or messages is not a condition of purchasing any goods or services, and that message and data rates may apply. You represent that you are the current subscriber or customary user of the telephone number provided, and that you are authorized to grant consent for that number. You may revoke consent at any time by replying "STOP" to a text message, following opt-out instructions in a call or message, or emailing info@copernicusmind.com.
5. SMS Terms & Conditions
- Program description: CopernicusMind may send SMS and MMS messages relating to inquiries, engagements, appointments, account notifications, and — where you have separately consented — marketing communications.
- Message frequency: message frequency varies based on your interaction with us.
- Message and data rates: standard message and data rates from your wireless carrier may apply. Consult your carrier for details.
- Opt-out: you may cancel the SMS service at any time by texting "STOP" in reply to any message. After you send "STOP," we will send a confirmation message and you will not receive further SMS messages from us unless you re-enroll.
- Help: for assistance, text "HELP" or email info@copernicusmind.com. You may also call 516.208.0453.
- Supported carriers: supported carriers include, but are not limited to, AT&T, T-Mobile, Verizon Wireless, Sprint, Boost, U.S. Cellular, MetroPCS, and Cricket. Carriers are not liable for delayed or undelivered messages.
- Privacy: information collected in connection with SMS is handled in accordance with this Policy and is not shared with third parties for their own marketing purposes.
6. Cookies and Analytics
We use cookies and similar technologies to remember preferences, measure performance, secure the Services, and understand how the Services are used. Most browsers allow you to refuse or delete cookies. We honor Global Privacy Control ("GPC") signals as an opt-out of the sale or sharing of personal information where required by law.
7. Data Retention
We retain personal information for as long as reasonably necessary to fulfill the purposes for which it was collected, to comply with our legal, tax, accounting, and reporting obligations, to resolve disputes, and to enforce our agreements. Retention periods vary based on the nature of the information and the purpose of processing.
8. Security
We maintain administrative, technical, and physical safeguards designed to protect personal information against loss, misuse, and unauthorized access, disclosure, alteration, or destruction. These measures include access controls, encryption in transit, secure development practices, and monitoring. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. You are responsible for keeping your account credentials and communications confidential.
9. Minors
The Services are not directed to children under the age of sixteen (16), and we do not knowingly collect personal information from children under 16. If you believe that a child has provided personal information to us, please contact us at info@copernicusmind.com and we will take appropriate steps to delete such information.
10. Third-Party Links
The Services may contain links to third-party websites, applications, or resources. We are not responsible for the privacy practices or content of those third parties, and this Policy does not apply to them. You should review the privacy policies of any third-party services you access.
11. International Users
